Privacy Policy
Last updated: 2026-04-30
This Privacy Policy explains how Vivid Intelligence Ltd ("we", "us", "our"), trading as Vivid Repairs, collects, uses, stores, and protects information about you when you visit https://www.vividrepairs.co.uk (the "Site") or use any of our services. We are the data controller for the personal data we hold about you.
Our processing is carried out in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
Vivid Intelligence Ltd is a company registered in England and Wales. Our registered office is at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom. For any privacy enquiries, please contact us at privacy@vividrepairs.co.uk.
2. Information we collect
We collect the following categories of personal data:
- Information you give us directly: when you contact us via email, the contact form, subscribe to back-in-stock alerts, or request remote IT support — typically your name, email address, and any details you choose to include in your message.
- Information collected automatically: when you browse the Site, we automatically collect technical information including IP address (hashed for our 404 logs), browser type, device information, pages visited, and referring URL. This is collected through server logs and analytics tools (see Section 6 — Cookies and similar technologies).
- Affiliate click data: when you click an affiliate link on the Site, we record the click and the article it originated from for performance reporting. We do not receive your payment details from the merchant.
3. How we use your information
We use your personal data for the following purposes:
- To respond to enquiries and provide remote IT support you have requested.
- To send back-in-stock notifications you have explicitly opted in to receive.
- To improve our content, monitor site performance, and detect/prevent technical issues such as broken pages and toxic external links.
- To measure the performance of editorial content and affiliate placements (in aggregate, not by individual user).
- To comply with our legal and regulatory obligations.
4. Lawful basis for processing
We rely on the following lawful bases under Article 6 of the UK GDPR:
- Consent — for non-essential cookies and back-in-stock email notifications.
- Contract — when you book or receive remote IT support.
- Legitimate interests — for site analytics, security monitoring (404 logs, broken-link detection), and improving editorial content. We have assessed that these uses do not override your rights and freedoms.
- Legal obligation — where required by law (e.g. tax records).
5. Sharing your information
We do not sell your personal data. We share data only with:
- Service providers who process data on our behalf under written agreements — including our hosting provider (Vercel Inc.), database provider (Supabase Inc.), email delivery provider (Postmark, ActiveCampaign), and analytics tools.
- Affiliate networks (e.g. Amazon Associates, Commission Junction) — when you click through to a merchant, that merchant becomes the data controller for the resulting transaction. We receive aggregate click + commission reports only.
- Authorities where required by law, court order, or to protect our rights.
Some of these providers are based outside the UK. Where personal data is transferred outside the UK, we rely on adequacy regulations or Standard Contractual Clauses to ensure your data remains protected.
6. Cookies and similar technologies
The Site uses cookies and similar technologies for essential site functionality, security, and analytics. Full details are set out in our Cookie Policy.
7. Data retention
We retain personal data only for as long as necessary for the purposes set out in this Policy:
- Contact-form submissions and support emails: 3 years from last interaction.
- Back-in-stock subscribers: until you unsubscribe (every email contains an unsubscribe link).
- Server access logs and 404 logs (with hashed IPs): 30 days.
- Aggregate analytics data: indefinitely, but no longer linkable to an individual.
8. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request erasure ("right to be forgotten") in certain circumstances.
- Restrict or object to processing.
- Request data portability.
- Withdraw consent at any time where consent is the basis for processing.
- Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint.
To exercise any of these rights, email privacy@vividrepairs.co.uk. We will respond within one calendar month.
9. Security
We implement appropriate technical and organisational measures to protect your personal data, including TLS encryption in transit, encrypted storage at rest, role-based access controls, and audit logging of administrative actions. No system is impenetrable; if we become aware of a personal data breach affecting your rights and freedoms, we will notify you and the ICO in line with our statutory obligations.
10. Children
The Site is not directed at children under 13. We do not knowingly collect personal data from children under 13. If you believe we have done so, please contact us and we will delete it.
11. Changes to this Policy
We may update this Policy from time to time. The "Last updated" date at the top of the page reflects the most recent revision. Material changes will be highlighted on the Site for at least 30 days.
